What we would do first

    What changes

For New York contractors and the trades

Keep DOB from stopping your job

Your job's file at DOB grows with each permit, inspection and sign-off. Nobody reads it until the job stops. We read it at 6:30 every morning. When an inspection item fails, the sub who clears it gets a work order that quotes the inspector and marks the drawing sheet.

What we set up on a job

      On the slab

      Current drawings on every tablet

Rugged tablets carry the current drawings and the 3D model, synced from the office and marked up on site. The crew builds from the latest revision. A markup made on the sixth floor reaches the architect as soon as the tablet has a signal. With no signal, the drawings still open. Each sheet lists the inspections that depend on it.

A drone operator in a cap stands at a chain-link fence holding a tablet with a map on screen, while a quadcopter hovers over the dirt lot, gravel piles to the right and a trailer behind

      Drone and sensors

      A drone maps the lot

Each flight gives a dated site map, stockpile and excavation volumes, and progress the owner sees without visiting. An FAA-licensed pilot flies the lot the same way each time, under an NYPD permit for every takeoff and landing and any FAA airspace authorization the site needs. Where the monitoring plan calls for them, vibration monitors on the neighbor's party wall and temperature probes in the pour text the foreman when a reading passes the plan's limit.

      Your schedule

Each DOB inspection on the floor it covers

We read DOB and OATH each morning and match every permit, inspection result, sign-off, violation and summons to its trade, floors and drawing sheets in your scheduling software, through its export or API. Each row shows the next inspection and the last missing sign-off. A failed result becomes a work order for the sub that quotes the inspector and names the sheet. The timeline is on the trailer wall and the foreman's tablet.

      • Each floor's inspections and sign-offs on one row, under the job's permits
      • Each line shows when the city last updated it, or when we last read it: some records post daily, some lag by weeks
      • Greenstar never holds your logins; every filing goes out from your own licensees' DOB accounts

      Inspections

The wall stays open until the inspection passes

DOB clears a failed inspection once it accepts the correction: at a re-inspection, or through the licensee's online certification where DOB marks the objection certifiable. Until then the drywall crew waits, and so does every trade behind it. Follow floor 6 through a sample job:

What it means. Nothing but the guardrail work goes on in the cellar until DOB comes back and lifts the order, so the switchgear for the cellar electrical room cannot go in; the hoist and the floors above keep going.

What we'd automate. The order placed on the cellar in your schedule the morning it posted, a work order to the carpenter for the rails, and the re-inspection request drafted with the photos for the unit that issued the order.

The summons went to the address on the permit, an office the firm left last year, and the hearing passed without anyone. Step: the address corrected on the firm's DOB and DOS records, the default contested while a new hearing can still be asked for, and early shifts booked only with a variance on file.OATH hearings and penalties · city updated Oct 15

The record. ECB violation 000000404N · issued Aug 13, 6:10 AM · work outside permitted hours without an after-hours variance · hearing Sep 24: default · penalty $4,000, billed Oct 1 · notice mailed to the firm's former address.

What it means. The city decided it without you because the notice went to an address nobody reads.

What we'd automate. Your firm's addresses checked against DOB, OATH and DOS records every morning, and a schedule that refuses a shift outside 7 AM to 6 PM without a variance on file.

Partial stop work order, roof: torch-applied roofing without a fire guard. Roof work stopped Oct 10 with the old membrane off and the deck under tarps, and the roofer's crew is booked elsewhere from Oct 23. Step: a certified torch operator and a fire guard named on the daily log, extinguishers photographed at the work area, and the re-inspection requested from the unit that issued the order; the façade work below goes on.DOB stop work orders · city updated Oct 15

The record. Partial stop work order · issued Oct 10 · scope: roof · condition: torch-applied roofing with no fire guard and no extinguisher at the work area · re-inspection: not yet requested · roofing crew booked elsewhere from Oct 23.

What it means. Every day stopped is a day the open deck sits under tarps, and a week from now the roofer's crew is gone.

What we'd automate. The order placed on the roof in your schedule the morning it posted, the torch operator's certificate and the fire guard checked on the daily log before torch work can be booked, and the re-inspection request drafted with the photos.

Sidewalk shed permit expires Oct 22. Shed permits now run 90 days and are renewed by hand each time; this one has to stay up until the façade repair is done, and a shed standing on an expired permit is a violation of its own. Step: the renewal filed this week, with the façade engineer answering DOB's questions on the repair's progress in DOB NOW and the installer's $1 million liability policy on file.DOB permits · city updated Oct 15

The record. Sidewalk shed permit SH-000004 · 90-day permit, expires Oct 22 · 140 feet along the north frontage · renewal: not filed · the engineer's progress answers: not yet given.

What it means. Six days to renew a structure that cannot come down until the lintels are fixed.

What we'd automate. A reminder to your filer and the façade engineer three weeks before each 90-day renewal, and the shed's permit dates tied to the façade repair in your schedule.

Unsafe lintels at floor 6, from the owner's façade report; the shed stays until they are fixed. Four steel lintels over the floor 6 windows are rusted and pushing the brick out. Step: the lintels replaced from the scaffold, photographed bay by bay, and inspected by the owner's façade inspector, whose amended report is what lets the shed come down.DOB façade filings · city updated Oct 15

The record. Façade report (FISP) · status: unsafe · condition: corroded steel lintels, floor 6, north elevation, bays 3 to 6 · repair scope: this job · amended report: waiting on the repair.

What it means. The owner pays for the shed every month the lintels stay as they are, so this is the line the owner asks about.

What we'd automate. A work order for the masonry crew with the inspector's photo of each bay, and the crew's photos, dates and finished bays packaged for the owner's façade inspector.

Insurance on file, current, for the firm and the shed installer. The firm's general liability, workers' compensation and disability as DOB shows them, and the installer's liability policy the shed renewal asks for.DOB licensing and insurance · read Oct 16

The record. Firm: general liability current to Mar 25 · workers' compensation and disability current to Jan 16 · shed installer: general liability, $1 million, current to Feb 13.

What it means. The shed renewal will not stall on insurance; it needs the engineer's progress answers.

What we'd automate. A reminder to your broker 45 days before the first policy ends, and the new certificates checked against DOB's record once they post.

Your next city bid starts on this job

Before they award anything, the city, the authorities and the primes look for a clean violation history, current insurance on file, an M/WBE certificate that has not lapsed and a dated progress record on every past job.

      City bids

      Jobs sized to your crew

DDC, Parks and DEP take bids through PASSPort. NYCHA uses its own iSupplier portal. The School Construction Authority takes bids only from firms it has prequalified. All of them advertise in the City Record. Two mentor programs help firms grow into this work: the SCA's, for prequalified MBE, WBE and LBE firms, and the City's Centralized Construction Mentor Program for small construction firms. We read the notices daily and match each one to your trade and job size.

      Where primes find certified subs

City contracts carry participation goals. Primes search the SBS directory for certified subs in the categories they need to fill. We watch your SBS certification: the yearly affirmation, the recertification date and the categories it covers. We also watch bids that set goals in your categories, and the State certification where a job calls for it.

      • Status, yearly affirmation and recertification date
      • The sub goals on each open public job
      • Your SBS directory listing kept current

      Energy programs

      Incentives your client can claim

Con Edison's efficiency and electrification incentives, NYSERDA's programs for new and existing buildings and NYS Clean Heat pay toward the equipment on the drawings. NYC Accelerator gives free technical guidance. Each application needs the building's record, the equipment schedule and a contractor who knows the paperwork. We check the incentive against the building before your bid goes in.

      • The drawings show which measures qualify
      • The incentive paperwork prepared alongside the permit filings
      • Post-installation measurements logged for the program
