What we would do first

    What changes

For New York repair shops and secondhand dealers

One ticket follows each phone from intake to sale

The ticket opens at the counter when you buy the phone. It records the IMEI and the seller's ID and signature, and counts down the holding period before it can be sold. The repair, the listing and the sale go on that ticket. At 6:30 each morning we also check your DCWP licenses and any OATH summonses.

Software for the bench and the buy counter

A technician at the counter works on a circuit board over his laptop, which lists repair tickets with photos; more boards wait in trays beside it and labeled bags fill the glass case behind

      The bench

A late part texts the owner

Each repair ticket holds intake photos, condition, serial, written estimate and delivery date, parts and bench time. Customers get a text at each step. Devices go back only on a closed ticket. Tickets stalled since yesterday show on the owner's screen. A part late for tomorrow's promised date texts the owner and counter with what to tell the customer.

Greenstar · 4:52 PMTicket 4483, ThinkPad X1 Carbon: promised Oct 17, and the battery has not shipped. The customer has not been told. A delay text with a new date range is drafted on the ticket for the counter to send.

      Buying over the counter

The seller's ID on every purchase

Every item, from an iPad to a Canon body, carries its serial, seller, where and when it was bought, photos and price history. That is the purchase and sale record the city requires, without the paper. The 15-day hold counts down by itself. The city's electronic record for used devices fills in from the intake. A purchase cannot be saved until every field the city requires is filled.

Prices come from your own sales: what an iPhone 13 or a Seiko 5 in the same condition sold for at your counter and online. You also see how long each one sat.

      Your apps

We plug into your repair app and register

Tickets stay in RepairDesk, RepairShopr or your own sheet. Pawn and buy records stay in Bravo, the register in Square, listings on eBay and Shopify and the books in QuickBooks. We join them per item through each one's export or API. The counter and a phone in the back show the same ticket. Each morning we add the shop's DCWP licenses, OATH summonses and hearings, and state filings.

      • A listing cannot post on any channel before the item's 15-day hold has run
      • Each city or state line shows how fresh it is: some sources post daily, some lag by weeks
      • We never hold your logins; license renewals and electronic records go out from your own accounts

      One phone

A used iPhone bought at the counter

Three city rules cover a used phone. Each purchase record carries the seller's ID details and signature. Each used phone or computer bought or sold goes into the electronic record at the time of the transaction, photos included. Nothing bought can be sold for fifteen days. One ticket covers all three and later carries the work order and listing.

The port draws 0.4 A of the 2.1 A the bench charger can deliver, about a fifth, so the fault is the port assembly. With the cracked back glass, that makes two parts: glass from stock and a port assembly on order.

By IMEI, ticket, seller, date or buyer: this record, at the counter or on a phone

A buyer, the seller or an inspector who asks about this phone gets this ticket. Read in date order, the shop's tickets are the record of purchases and sales an inspector asks for.

It can go the other way. An inspector finds a purchase record without the seller's ID details. The summons goes to OATH. The hearing is missed and the penalty is billed. The unpaid judgment can hold up the license renewal. Each step is a dated public record. We read them as they post and tell you at the first step.

MacBook Air (M1), ticket 4468: promised Oct 13, deposit taken, still on the bench. The keyboard that arrived was the wrong layout, and the customer has texted twice. Step: the right part is on order with an arrival date; today the customer gets the new date in writing, with the right to refuse it and take the laptop back reassembled, paying only for authorized work done; otherwise the deposit shows on the ticket against the final bill.your repair tickets · read Oct 16, 6:30 AM

What it means. The shop is holding a customer's laptop and money past the date on its written estimate, and missing that date without written notice breaks the city's repair rules.

What we'd automate. A text to the counter the afternoon before any promised date whose part is not in hand, the written notice of the new date drafted from the carrier's tracking, and the deposit carried onto the final bill.

Penalty billed after a missed hearing. A DCWP inspection found one purchase record without the seller's ID details; the hearing on Sep 26 was missed and the summons was decided in default. Step: ask OATH for a new hearing, which it grants on a first request made within 75 days of the missed hearing, or pay. The intake form now refuses to save without the ID details and the seller's signature; lot 121, bought before that change, is below.OATH hearings · city updated Oct 15

What it means. One record without the ID details became a default decision because nobody had the hearing date in front of them.

What we'd automate. Every summons matched to the shop the morning OATH posts it, the hearing on the counter's calendar with texts two weeks and two days ahead, and the request for a new hearing drafted with the record attached.

Electronics license expires December 31, 2026. A shop that repairs phones and laptops is a service dealer, and since September 8, 2026 the service dealer license has been part of DCWP's Electronics license, which expires on December 31 of even years. What it means. The city lets DCWP deny a renewal while an OATH judgment is unpaid, so the penalty above is resolved before the renewal goes in.

What we'd automate. Reminders to the owner at 60, 30 and 7 days, the documents gathered from the record, and the OATH line checked first; the renewal itself is filed from the shop's own DCWP account.

What it means. The shop pays twice for the same part unless the claim goes in within eight days.

What we'd automate. A part that fails inside its supplier's window opens the claim on the day of the bench read, with the evidence attached, and the credit is matched in the books when it posts.

What it means. The estimate gives a range the supplier's usual lead time supports, and its last day is the date the shop is held to.

The record. Charge port assembly, iPhone 12 · ordered Aug 23, delivered and installed Aug 25 on ticket 4302 · supplier warranty 60 days from delivery, to Oct 24 · claim not filed.

What it means. The shop pays twice for the same part unless the claim goes in within eight days.

What we'd automate. A part that fails inside its supplier's window opens the claim on the day of the bench read, with the evidence attached, and the credit is matched when it posts.

Waiting on the replacement port; the estimate says ready Oct 18 to Oct 20. Ordered Oct 15; the supplier has confirmed it but posted no tracking. Step: the ticket narrows its ready-by date when the part's tracking posts, and the customer is texted when it lands, not when they call.your repair tickets · read Oct 16, 6:30 AM

The record. Order confirmed Oct 15, 5:12 PM · tracking: none yet · usual lead time from this supplier 2 days, from your last 30 orders · written estimate signed Oct 15: no charge, ready Oct 18 to Oct 20.

What it means. The customer has a range in writing that the supplier's record supports, and the system holds the shop to its last day.

What we'd automate. When tracking posts, the ready-by date is set and the customer is texted; no tracking in two days texts the counter to call the supplier, and a slip past the range sends the customer the new date in writing before the old one passes.

      • OpenTicket
Back under the shop's warranty. The same port was replaced Aug 25 on ticket 4302, with 90 days on parts and labor. Step: no charge to the customer, the two tickets linked, and the other ports from that supplier order checked, so a bad batch shows before the next return.your repair tickets · ticket 4302

The record. Ticket 4302 · port replaced Aug 25 · warranty to Nov 23 · returned Oct 15, charging intermittently · 3 other ports from the same order installed, no returns yet.

What it means. Covered work costs the shop the bench time; it should not cost the part as well.

What we'd automate. A return by IMEI opens against the original ticket at no charge, and two returns from one supplier order flag the order and text the owner.

      • WatchingBench
Bench read Oct 15: the port, and nothing else. The port draws 0.5 A of the 2.1 A the bench charger can deliver; the board, the battery at 88%, Face ID, the cameras, cellular and Wi‑Fi pass.bench read · Oct 15, 4:05 PM

The record. Six tests, 9 minutes · battery health 88% · charge draw 0.5 A of 2.1 A · board, Face ID, cameras, cellular and Wi‑Fi pass · photos of the port attached to both tickets.

What it means. The fix is the part already on order, and the evidence for the supplier claim is already on file.

What we'd automate. The bench read writes itself onto the ticket and into the supplier claim, so nobody retypes a number.

      • WatchingIntake
Customer kept informed, passcode not taken. Texted at intake, then signed the written estimate at the counter after the bench read; a port repair does not need the passcode, so the shop never asked for it.your repair tickets · customer texts

The record. Text at intake Oct 15, 3:48 PM · estimate signed at the counter Oct 15, 4:20 PM: "covered under warranty, no charge, ready Oct 18 to Oct 20" · passcode not collected · IMEI read from the device.

What it means. The customer knows where the phone is and what it costs, and the shop holds no more of their data than the repair needs.

What we'd automate. Texts at intake, diagnosis, part arrival and ready, from the ticket; the passcode field stays closed unless the repair needs it.

Fender Player Stratocaster · lot 121

      • DatedHold
Can be sold from Oct 27, but the date alone will not release it. Bought Oct 11; the city's 15-day hold runs through Oct 26. Step: the listing posts only when the hold has run and the purchase record is complete, whichever comes later.your purchase records · read Oct 16, 6:30 AM

The record. Lot 121 · bought Oct 11, 4:15 PM · hold through Oct 26 · release needs the hold run and the record complete · inquiries against the serial: none.

What it means. Unlike the Seiko, this guitar has two things holding it, and only one of them ends by itself.

What we'd automate. Release checks both conditions every morning, and the owner is texted on Oct 27 if the record is still incomplete.

      • OpenRecord
Purchase record has no ID details or signature. Only the serial and the seller's name and phone were taken; it was bought before the intake form required every field. Step: the seller was called Oct 12 and is bringing the ID in Oct 17; what the seller adds goes in as a dated amendment beside the original, which still shows what was missing at purchase.your purchase records · read Oct 16, 6:30 AM

The record. Seller's name and phone recorded · no address, description, ID details or signature · called Oct 12, 12:10 PM · seller to return Oct 17 after 5 PM · amendment pending.

What it means. This is the gap behind the OATH penalty on the shop's record, found the day after purchase. The amendment shows when the record was completed; it does not make the purchase compliant.

What we'd automate. A record missing a required field cannot be listed anywhere; a callback that has not happened by its date texts the owner, and the amendment is kept beside the original with its date and who made it.

      • OpenBench
Needs a setup before it is listed. The action is high at the 12th fret and the volume pot crackles. Step: a work order for a setup and a pot cleaning, done while the hold runs, and photographed after.bench check · Oct 12

The record. WO-4474 · action 2.8 mm at the 12th fret, low E · neck relief within range · frets about 80% · volume pot noisy, tone pots clean · strings to replace · about an hour on the bench.

What it means. Done during the hold, the setup costs the guitar no days in the case.

What we'd automate. Bench work on a held item is scheduled to finish before the hold ends, so the repair and the release land on the same morning.

In the electronic record the afternoon it was bought. The shop enters every purchase; this one went in from the intake Oct 11, 4:21 PM, with the serial, the description and the photos.your electronic records

The record. Entry made Oct 11, 4:21 PM · from intake lot 121 · kept as made · inquiries against the serial: none.

What it means. Whoever asks about this guitar finds when it came in and when it was entered in one record.

What we'd automate. When the purchase record is amended, the amendment is noted against the entry, so the two read together.

The record. 64 purchase records, Aug 30 to Oct 16 · 63 with the serial, the seller's details, the ID details, the signature and photos · 1 incomplete: lot 121.

What it means. The OATH summons was about one record; this check finds one more since then, and no pattern.

What we'd automate. The same check every morning over every record, so an inspector finds what the shop already knows.

Drafted for Reverb, eBay and the case tag. Priced from your last three Player Stratocaster sales, which sat a median of 19 days; held until both conditions above clear.your sales history · your channels

The record. Comparable sales: 3 in 12 months, same model, condition B+ · a median of 19 days to sell, 2 on Reverb and 1 in the shop · photos to be retaken after the setup.

What it means. A guitar has its own market, and your own sales say which channel moves it.

What we'd automate. One draft to every channel, posted when the record and the hold allow; the first sale closes the others.

Sample only. The shop and its items are made up. The dates move with the day the page is built, except the two license expiry dates, which DCWP sets for every license in a category. Tap the shop or an item to switch, a count to filter, a line to open it.

      City contracts

Device repair the city puts out to bid

A license renewal, a city bid or an M/WBE application can depend on four things: current DCWP licenses, nothing unpaid at OATH, an active entity with the state and a sales tax certificate of authority. We watch all four.

      Bids

Enroll in PASSPort for smaller bids

City agencies buy device repair, refurbishment and the disposal of retired electronics. Larger bids run in the City Record; smaller ones may not. DCAS, the city's central buyer, sends bids under $100,000 to vendors enrolled under the matching commodity in PASSPort. A shop not enrolled is not asked. We read the City Record daily and keep your PASSPort commodities current with you. Each repair notice comes to you with its deadline.

      Certification

      Free five-year M/WBE certification

Prime contractors on city contracts look for certified firms to meet M/WBE goals. A shop can apply after a year of sales if it is based in the city and at least 51% owned, operated and controlled by women or members of a designated minority group who are U.S. citizens or permanent residents. We prepare the SBS application from your entity record and books. Then we track the certification's yearly confirmation and repair bids with M/WBE goals.

      • Application assembled from records you already keep
      • A reminder before each yearly confirmation
      • Your listing shows both repair and resale

      Standing

Clear any OATH penalty before you renew

A bid asks for the licenses the work needs. An M/WBE application asks for the entity's papers and a year of sales. A city license renewal can stop on an unpaid OATH judgment. We check all three each morning, before anyone asks.

      • Licenses, entity and sales tax watched together
      • Unpaid OATH judgments named before a renewal

      What we read

Your DCWP license and every OATH summons

For each shop you send us, we read DCWP, OATH and the state's entity and tax files. Your tickets, purchase records and sales sit beside them. Every line names its source. City and state lines also show their date. Some post daily; some lag by weeks.

      How it starts

      Send us a shop address

      1. One shop or several. Within one business day we send back each shop's licenses, OATH summonses and state filings, and what we would need from you to fill in the rest.
      2. Counter setup. What we would track at the counter, what we would connect, who on your team gets which text, and the start date.
      3. Tickets go live. Each item links to your register and listings. We watch the holds and licenses and keep it running.
